JOB DESCRIPTIONS: Board of Directors and Current Members


PRESIDENT

Sarah Kapiniak

  • Ensures mission statement objectives are key to all board decisions

  • Main contact of the preschool

  • Ensures bylaws and policies are followed or amended as necessary

  • Liaison for executive, teachers, school staff, and parents

  • Calls and Chairs meetings including AGM

  • Delegates and follows up on actions required from meetings and other issues

  • Prepares agenda and hands out to all executive prior to meeting

  • Has shared signing privileges with treasurer and secretary

  • Volunteers with executive functions (open house, fundraising, registration, etc.)



VICE-PRESIDENT
Amanda Plamondon

  • Assists president with duties as delegated/required

  • Represents the president in their absence

  • Volunteers with executive functions (open house, fundraisers, registration, etc.)

  • Performs monthly verification of financial statements

  • Prepares monthly newsletter

  • Coordinates all aspects of fundraising events (advertising, volunteers, supplies)

  • Coordinates advertising in community newsletters for preschool registration ( in coordination with the registrar)



SECRETARY
Jena Boyko

 

  • Records minutes  of each meeting and posts in classroom following meeting, filing one copy with all attachments in classroom file and storing one on disc

  • Provides copy of each meeting’s minutes to all executive prior to next meeting by email

  • Responsible for preschool files (memberships, minutes, etc) and other documents stored on disc (bylaws, contracts, pamphlet, executive job descriptions)

  • Has shared signing privileges with the president and treasurer

  • Volunteers with executive functions (open house, fundraisers, registration, etc)



TREASURER
Gillian Wrubleski

 

  • Has shared signing privileges with president and secretary

  • Responsible for accurate financial records

  • Responsible for yearly budget and presentation at AGM

  • Provides monthly statements to each executive

  • Performs bank deposits and withdrawals

  • Ensures timely payment of all approved expenditures, including payroll and deductions

  • Follows up on returned cheques

  • Prepares records for examination by outside auditor, ensuring audit completed and presented at AGM

  • Volunteers with executive functions (open house, fundraisers, registration, etc)



REGISTRAR
Jason Roy

 

  • Sets up registration night and Open House

  • Accepts new registrations throughout the year

  • Keeps registration forms on hand (including information about preschool requirements) and maintains class lists

  • Follows up to ensure all payments received for sessions

  • Contacts families on waiting list if opening occurs

  • Volunteers with executive functions (open house, fundraisers, registration, etc)



ORGANIZER
Jennifer Trischuk

 

  • Liaison between room parents and board of directors

  • Responsible for subcommittees

  • Works with the teacher and room parents to coordinate field trips (buses, volunteers, snacks, etc), student photos, play dough/laundry/toy wash schedules

  • Volunteers with executive functions (open house, fundraisers, registration, etc)

ALL POSITIONS ARE EXPECTED TO HAVE FUN, MAKE FRIENDS AND MAKE A DIFFERENCE!

 

**All positions are responsible to ensure that meetings progress smoothly by arriving prepared and on time, listening attentively to the views of others, and actively participating in decisions. The chair person is to be advised in advance if meetings cannot be attended.
